Budget Control

Because we understand the money we're spending isn't ours, we always provide three quotes for goods and services related to our clients' projects. Where feasible, billing is direct to the client. We work closely with a team of experts in the graphics, Internet and printing industries, thus enabling BO'NAFIDE to select the most appropriate suppliers on an as-needed basis. This helps our clients to capitalize on the skills and expertise of a varied group of professionals to the client's benefit.

When a fee is quoted for a project, it is firm and will not exceed the quoted figure for the work specified. Where the project differs significantly from the original specifications, a new fee will be quoted before the work is started.

BO'NAFIDE Communications doesn't charge a handling fee for normal out-of-pocket expenses such as photocopying, long distance telephone calls, travel, etc. Fees are due upon receipt of invoice with two per cent of the outstanding invoice being charged for accounts 30 days overdue. The service charge on overdue accounts is compounded monthly.

BOíNAFIDE Communications Inc. is a proud member of the Mississauga Board of Trade Member to Member discount program. Any prospective client who is a member of the Mississauga Board of Trade will receive a complimentary one-hour consultation and is eligible for a discount of up to five per cent on fees, depending on the project.

How We Charge for Our Services

BO'NAFIDE Communications Inc. tailors its invoicing to suit the client's needs. There are four basic rate structures:

  • Communications Programs

In this case we write a full communications program, including objectives, strategies, a list of target audiences, a complete description of communications techniques recommended, a timetable and a post-program summary.

Such a program is required for a six or 12-month assignment and ensures a proper start-up and a clear definition of the work required. Costs for preparation of a program range from $1,500 to $10,000 or more, depending on the length of time and complexity of the project.

Fees for a program of this nature are usually 5-10 per cent less than for project work, enhancing our ability to manage your billiable hours each month. Invoicing is done at the beginning of each month in advance.

  • Projects

We frequently undertake one-time special projects on behalf of new or existing clients. We manage these as mini-programs and work to objectives, strategies and budgets in the same way we handle full communications programs.

Typically, a project fee is slightly higher because of the need to concentrate staff resources to the project. A project can be as small as writing/distributing a media release or as large as a new product introduction.

  • Retainer

This form of agency-client relationship remains the most cost-effective method for a majority of companies using public relations. It guarantees the client a designated number of hours of the agency's billable time each month, thus giving the client the assurance that should an emergency develop, the agency will react accordingly. Invoicing is done at the beginning of each month, in advance. Retainer contracts are normally for a minimum of one year.

  • Hourly Billing

In this case, BO'NAFIDE logs the number of hours expended on behalf of a client and bills accordingly. This method is the most costly to the client and isn't, in our view, the most efficient use of the client's PR budget.
